Refund and Transfer Policy


To request refunds or transfers, please ensure that your request is submitted and approved by the Registration Office or Program Coordinator at least 3 full business days before the scheduled start of the activity. It's important to note that if we cancel the class, no fees will be assessed.

Patrons who cancel at least 3 business days before the start of the class may receive a full refund of the class cost as an account credit, which can be used for future registrations. If you prefer a refund to your credit card, please be aware that a $5 cancellation fee per class, per individual, will be deducted. Cancellations made less than 3 days prior to the class start date may not be eligible for a credit or refund.

Additionally, please take note of program-specific policies below, as they may vary.

We want to emphasize that our operations may be affected by Public Health Orders or weather-related events. In such cases, no refunds will be issued if there are changes to protocols, such as mask mandates, capacity restrictions, or personal quarantines, and if our programs continue to operate. In situations where programs are canceled due to these circumstances, we may choose to offer a partial credit or make-up session at our discretion.

Program/Service Specific Policies:

  • Recreation Center Passes

Refunds, credits, or transfers are not applicable. In the event of a mandated shutdown of the recreation centers due to Public Health orders or other emergency, monthly and annual passes will be temporarily suspended. Please note that no requests for extended pauses will be processed for any other circumstances or reasons.

  • Gymnastics Programs

A complete refund will be issued for cancellations made 7 or more business days before the start date, a 50% refund for cancellations made 4-6 business days before the start date, and no refund or credit for cancellations made 3 days or less before the start date. Please note that all refunds are subject to a $5.00 processing fee. There are no make-up classes or pro-rates available for missed classes.

  • Licensed Camps

Refunds, alterations, or transfers are not permitted for cancellations made less than 7 days prior to the registered camp date. A $5 cancellation fee will be assessed for cancellations made 7 days or more before the registered camp date. Missed camp days due to vacations, illness (including COVID-related illnesses/quarantines), or unforeseen emergencies will not be eligible for refunds or make-up sessions.

  • Preschool & Pre-K (Child Discovery Time)

To cancel your registration and future payments, written cancellation requests must be submitted by the 15th of the month. A $5 cancellation fee will apply to such requests. Missed camp days due to vacations, illness (including COVID-related illnesses/quarantines), or unforeseen emergencies will not be eligible for refunds or make-up sessions.

  • Athletic Leagues

Refunds and transfers must be requested at least 7 business days before a league’s start date.  Team League Deposits are non-refundable 6 business days prior to a league start date.  Refunds require a 2.49% processing fee for team fees over $200 unless the District cancels the league.  Every outdoor league is guaranteed 2 weeks of reschedules for weather and any additional weather-related cancellations may not be rescheduled or could occur outside of regular program dates. No refunds or pro-rated refunds will occur for any weather-related or disciplinary issues.

  • Nature Programs

Refunds and transfers must be requested at least 72-hours before a program start time.  All refunds require a $5 processing fee.  There are no make-ups or pro-rated refunds for missed classes. Please be sure to check the individual program descriptions for unique cancellation policies or exceptions.

    • Canoe Programs and Adult Hike/Snowshoe Programs: Refund or transfer requests must be submitted at least 7 days before the program's start date. From 7 days to 72 hours before the program, refunds will only be issued if a replacement participant is registered.
    • Week-Long Camps and Birthday Parties: A 14-day notice is required for refunds or transfers.
    • Trips and Tours: Cancellation policies may vary. Please refer to the specific program's course description for any exceptions or details.

Cooley Lake Hikes (Free): A $5 attendance deposit is required during registration. This deposit will be refunded to your account in the following cases: after you attend the session, or if you cancel with at least 72 hours’ notice.
